MEANING of Cumulative Record (Sanachayi Abhilekh)

* A Cumulative Record Card is that which contains the results of different assessment and judgments held from time to time during the course of study of a student or pupil.

* Generally, it covers three consecutive years. It contains information regarding all aspects of life of the child or educed-physical, mental, social, moral and psychological.

* It seeks to give as comprehensive picture as possible of the personality of a child.

* “The significant information gathered periodically on student through the use of various techniques tests, inventories, questionnaire, observation, interview, case study etc.”

Basically a Cumulative Record Card is a document in which it is recorded cumulatively useful and reliable information about a particular pupil or student at one place.

* There are 3 types of cumulative record is recorded as shown in FIG.1.

DEFINITION of Cumulative Record

In my point of view, a cumulative record is the personal details of the student whether Academic or Non-Academic.

But different educationist or psychologist has given numerous of definitions on the
basis of their research and judgements which are as follows:-

According to Jones, “A permanent record of a student which is kept up-to-date by the school; it is his educational history with information about his school achievement, attendance, health, test scores and similar pertinent data”.

According to Ben Morris, “A record card is only a tool and unless a system of records can impress the majority of teachers as a sensible and useful device which it is within their powers of use, it is likely to be waste of public time and money to install it.”

According to Mure Thomas, “It is the information about a pupil collected during a long period.”

According to Allen, “The cumulative record is defined as a record of information concerned with appraisal of the individual pupil, usually kept on a card kept in one place.”

According to Jane Warters, “All important information regarding a pupil observation interview, case study and other methods.”

IMPORTANCE of Cumulative Record

Cumulative record has provided a significant record of the pupil and which provide the guidance to the management (teachers) to judge from the previous record and
then to improve the present record (if required). Therefore, it plays a very important role in building up a student’s career. Some of the importance are as shown below:-

NEED of Cumulative Record

• The modern type of Cumulative Record was first made available in 1928 by the American Council on Education.

• The need for such a record was felt in view of an inadequate information that was contained in the various forms as available.

• The Secondary Education Commission has made the following observations
regarding the need for Cumulative school records “neither the external examination singly or together can give a correct and complete picture of a pupils all round progress at any particular age of his education, yet it is imparted for us to assess this in order to determine his future course of study or his future vocation.”

• For this purpose, a proper system of school records should be maintained for every pupil indicating the work done by him in the school from day to day, month to
month, term-to-term and year to year.

• Such a school record will present a clear and continuous statement of the attainment of the child in different intellectual pursuits through-out the successive stages of his education.

• It will also contain a progressive evolution of development in other directions of no
less importance such as the growth of his interest, aptitudes and personal traits, his
social adjustments, the practical and social activities in which he takes part which
further helps-

In deciding upon the vocation and profession for a student.

►To observe various aspects of child’s personality.
►Helps when a student leaves the school and gets admission in another school.
►In identifying an abnormal child and those who are weak in studies.
► In solving the problems of the child.

PURPOSE of Cumulative Record

Without a cumulative record it is impossible to judge the student’s behaviour throughout the year and the purpose of cumulative record is to judge student’s overall personality. Different purpose of cumulative record as follows:-

• The cumulative record is an useful and permanent record which includes various information’s about the student.

• It is an up-to-date record which is maintained by teachers including the latest information’s about student.

• It is a complete record which includes student’s educational progress covering student’s past achievement and present educational standard.

• It is a comprehensive record as it embodies all the information’s about the students such as attendance, health, test, co-curricular activities, psychological data and educational data etc.

• It can be called as continuous record as it includes data about the student even starting from kindergarten level to the end of school education.

• It invites data about the students which should be valid, authentic, relia objective, usable and pertinent in nature.

• A separate file is maintained in case of confidential information collected about the students.

• It can be transferable from one school to another with students.

SPECIFIC USES of Cumulative Record

• At the elementary and junior high school level-If differentiation by subjects is desired, the level of the pupil’s standing in a particular subject may be revealed by teachers’ marks, subject test scores, and general scholastic aptitude (intelligence) test scores.

• In the discovery of causes of behavior difficulties and failures-For some time the child guidance clinic has demonstrated the value of an all-round view of the child in analyzing his difficulties and recommending remedial treatment. Cumulative record system constitute a valuable aid to the school in dealing with problem eases.

• In the identification of gifted pupils-The cumulative record, more clearly than any other school device, shows the level of development at consecutive periods of time.
• To assist in the discovery of special abilities-The cumulative record will often give a clue to such special abilities through its entries.

• At the high-school and college levels-The cumulative record becomes progressively important because it covers an increasing number of activities. It must assist in pointing the way not only toward general educational development but also toward some vocational goal such as-

(i) In determining the type of educational course which best fits the student.
(ii) In advising the student in the choice of schools when graduating from a school or otherwise transferring from one school to another.
(iii) In advising the student as to the efficient use of his time.
(iv) In placement.

ADVANTAGES & DISADVANTAGES of Cumulative Record

ADVANTAGES:-

• Cumulative record is a permanent record about the pupil or student.

• It is maintained up-to-date. Whenever any new information is obtained about the pupil it is entered in the card.

• It presents a complete picture about the educational progress of the pupil, his past achievements and present standing.

• It is a comprehensive in the sense that is contains all information about the pupil’s attendance, test scores, health etc.

• It contains only those informations which are authentic, reliable, penitent, objective and useful.

DISADVANTAGES:-

• The entire data is of little use if they are not collected properly objectively and accurately.

• The purpose of Cumulative Record is not served if it is not maintained secretly and
confidentially.

• Sometimes the informations and its interpretations becomes confusing as the informations are collected by different teachers.

• The maintenance of Cumulative record is a hard some job like clerical work in the part of teachers. It is a lengthy process which needs much time to be worked out.

CONCLUSION

As we discussed the various aspects of the Cumulative record of the pupil or student and it is concluded that the record not only preserve the previous year records but also it compares the previous and present year record of academic as well as non- academic performance of the student and gives the management to direct or guide about the maintenance of student’s record.

The cumulative records serve as a well arranged store-house of all the information regarding the students. It is based on factual information, and there is also need to mention secrecy of information. There should be the importance of usefulness of cumulative records so it may be used properly. It’s content should be proper and systematically.
